1. Rental rates are based upon a “4 wall” policy. Rates include general overhead lighting, ventilation, circulating air (as available) and event coordinator.

  2. Security for your shows is encouraged and in some cases may be required. A list of security companies that you may retain is available through the Expo office.

  3. The Expo Center retains all public and exhibitor revenues. Driving and parking of vehicles is allowed only in designated areas. Parking lots and roadways are under the exclusive and absolute control of the Tucson Expo Center. The Expo Center may permit, for a daily charge, exhibitor motor homes and recreational vehicles to camp overnight on the grounds.

  4. The Expo Center’s concessionaire has exclusive rights to provide all concession food and beverages and catering, including the sale of alcoholic beverages. Show promoter, exhibitors, or guests are not permitted to sell food and beverage items or contract with any food service organization other than the Expo Center’s concessionaire unless specifically approved in writing by the Expo Center.

  5. Thirty days prior to the event, the Expo Center requires a copy of Certificate of Insurance for Combined General liability and Property Damage insurance, including product liability and liquor legal liability, as applicable, in a minimum amount of One Million Dollars ($1,000,000) combined single limit per occurrence. The Certificate of Insurance must include as additional insured: “THE STATE OF ARIZONA TUCSON PROPERTY HOLDINGS, AND ALL OF ITS DIRECTORS AND EMPLOYEES”

  6. Telephone service for events must be ordered directly from the phone company.
  7. User shall not distribute or allow to be distributed any handbills, posters, bumper stickers, decals, helium balloons or other advertising materials outside of the premise (i.e., parking lots, etc.) without prior written approval of the Expo Center.

  8. All articles, exhibits, displays and materials shall be brought into the facility at designated entrances and hours. User assumes all responsibility for any goods or materials placed in storage for the duration of the use agreement. The Expo Center will not accept deliveries for any event. User or its representatives must be available to accept all deliveries. Proposed facility use hours, including move-in and move-out, must be approved by the Expo Center.

  9. Three copies of the floor plan must be submitted to the Fire Marshal 30 days prior to the event. This plan shall include detailed drawings of all exhibit areas, seating plans and entertainment areas. All events are subject to fire regulations as outlined by the Fire Marshal.

  10. All exhibitors/vendors must have a retail sales permit from the state Board of Equalization. User agrees to pay promptly all sales, use, excise and any license fees required to be paid by user or any governmental authority. User may also be subject to a possessor interest tax and/or admission tax. Local sales tax should be allocated to the City of Tucson. User will be solely responsible for payment of all license fees or royalties arising out of the use of any copyrighted or protected material.

  11. Alterations shall not be made to buildings, grounds, or parking lots. Temporary changes such as the installation or removal of fences, removal or trimming of trees, painting, or equipment relocation are prohibited.

  12. User shall use the term Tucson Expo Center in any promotion/advertising and is prohibited from using the term “Convention Center” in any reference.

  13. User agrees that every participant, employee, agent or contractor connected with User’s use of the premises shall abide by, conform to and comply with all laws of the United States, the State of Arizona, as well as the ordinances of the City of Tucson and regulations of the police and fire departments of the City of Tucson and Pima County. User agrees that he/she will not permit any violation or breach of peace to occur either on his/her part, or by anyone employed by him/her. User shall conduct its activities upon the premises so as not to endanger or harm any person, property or the environment. For purposes of this paragraph, the term “premises” shall included all the Tucson Expo Center property, including the parking lot, entrance ways, and other areas used by the User or its employees, contractors, agents, members or guests.

  14. In the event of an electrical power energy shortage whereby the public utility company deems it necessary to reduce, cut or rotate electrical services to the Tucson Expo Center, the Expo Center shall not be liable for any losses suffered by user due to the power shortage. In the event the water, gas or electricity is cut off because of causes beyond the Expo Center’s control, the Expo Center shall not be liable for any losses suffered by the User.

  15. A promoter may “advertise” his show by displaying appropriate signage by or on the building where the event is being held with prior approval by Expo Center management. Approval will not be unreasonably withheld. Any additional placement of signs or banners on the exterior or interior fences, parking area, driveways or structures must have prior approval of Expo Center management. If two or more shows are being held concurrently, signage will be limited to the individual buildings only, unless otherwise directed by management.
